This role provides operational, administrative, and facilities coordination support to the Facilities Management (FM) team, vendors, property management, and internal stakeholders.The position requires strong organizational skills, attention to detail, customer service excellence, and the ability to manage multiple priorities in a fast-paced environment.Key ResponsibilitiesFacilities Operations & AdministrationProvide administrative and operational support to the Facilities Management team and broader client operations.Support daily facilities functions to ensure efficient building operations and service delivery.Coordinate and monitor facility-related work orders, maintenance requests, and building tickets through internal systems.Manage and maintain facilities management platforms, including space management and electronic facilities tools.Assist with day-to-day building operations and support site initiatives as required.Conduct regular site walkthroughs with leadership to identify operational or safety concerns.Collaborate with the Head of Real Estate & Facilities Management (REFM) on facility-related matters and special projects.Vendor & Contractor ManagementCoordinate and oversee subcontractors and service providers, including cleaning, HVAC, security, shipping, and maintenance vendors.Manage relationships with local and non-local suppliers to ensure service quality and compliance with contractual expectations.Create and process purchase orders and assist with budget tracking and expense coordination.Support quarterly security spend reporting and facilities-related financial administration.Mailroom, Shipping & LogisticsOversee mailroom operations, shipping, and receiving activities, including USPS, UPS, and FedEx services.Coordinate incoming and outgoing deliveries and maintain organized shipping processes.Support records management activities, including Iron Mountain coordination.Security & Access ControlAdminister access control systems, building access requests, and parking pass management.Support physical security operations, camera systems, and security reporting requirements.Assist with physical security audits and compliance initiatives across the NAM region.Generate and maintain monthly access reports and security documentation.Health, Safety & ComplianceServe as the Health & Safety (H&S) Single Point of Contact (SPOC) for NAM operations.Support health and safety programs, meetings, inspections, and compliance activities.Participate in regional and corporate H&S meetings and communications.Act as Fire Warden and support emergency preparedness and response procedures.Promote workplace safety standards and ensure compliance with company and regulatory requirements.Workplace & Client ServicesMaintain a high level of customer service and foster positive working relationships with employees, vendors, and stakeholders.Support workplace experience initiatives, employee activities, and committee participation.Coordinate copier management and provide basic support for facilities‑related equipment.Assist with local IT room equipment coordination as needed.Provide backup support for reception, breakroom operations, coffee services, rent payments, and other office support functions.About YouThe ideal candidate will have:Experience in facilities coordination, office administration, workplace operations, or a related field.Strong organizational, multitasking, and problem‑solving skills.Excellent communication and interpersonal abilities.Experience working with vendors, contractors, and property management teams.Knowledge of health & safety procedures and workplace compliance practices.Proficiency with facilities management systems, work order platforms, and Microsoft Office applications.Ability to work independently while maintaining a collaborative, team‑oriented approach.Strong attention to detail and commitment to operational excellence.Core CompetenciesCustomer service orientationVendor coordination and relationship managementFacilities operations supportSafety and compliance awarenessCommunication and collaborationInitiative and accountabilityAdaptability and flexibilityTime management and organizationDiversity StatementWe want to create a workplace where everyone feels safe to bring their whole selves to work.
