Job Title Assistant Property Manager (CRE)Summary The Assistant Property Manager supports all aspects of the Senior Assistant Property Manager role, performs property administration duties in the absence of a dedicated administrator, and maintains professionalism while fostering positive tenant and client relationships.Essential Functions and Responsibilities Provide full administrative support: phone support, typing, reports, filing, and distribution of correspondence.Coordinate office supplies in the absence of a property administrator.Assist in lease administration activities, abstracting leases and keeping the database current.Prepare and maintain orderly property files, including leases and contracts.Prepare and coordinate bid proposals and service contracts.Obtain aging reports for management and follow up on all delinquencies using C&W or client‑directed policies.Process invoices in accounting with appropriate backup according to established procedures.Coordinate tenant move‑ins and move‑outs, including furniture delivery and pick up.Oversee maintenance of work‑order and purchase‑order systems.Develop and maintain a comprehensive Tenant Service Package: tenant handbooks, anniversaries, holiday gifts, park events, quarterly newsletters, and training meetings or programs.Update and maintain tenant information in the database.Update office procedures in the Property Operations Procedure Manual under manager direction.Ensure Certificates of Insurance for tenants and vendors are current.Process management and maintenance staff hours, expense reports, and check requests for review and approval.Process above‑standard tenant bill‑backs for electrical usage, after‑hours HVAC, and similar charges in a timely manner.Assist supervisor with annual budget preparation, monthly financial reports, and bank deposits if performed on site.Lead regular inspections of properties with janitorial, landscape, and other service providers as directed by the manager.Participate in performance oversight of all service contractors.Key Competencies Customer Service FocusOrganization skillsTime Management skillsOral and written communication proficiencyInitiativeMulti‑TaskingSense of UrgencyImportant Education High school diploma/GED equivalent; Bachelor's Degree preferred.Important Experience At least 1 year of real estate property management or related experience.Additional Eligibility Qualifications Proficiency in Microsoft Office Suite.Demonstrates initiative and urgency by meeting or improving upon deadlines.Work Environment This role operates in a professional office setting, frequently uses standard office equipment (computers, phones, photocopiers, filing cabinets, fax machines), and requires regular travel between properties in varying weather conditions.Physical Demands Work may involve walking, climbing stairs, and traveling between buildings.
